Summary. The Operations team want to help support the business as effectively and efficiently as possible. To discuss or raise projects with us please join our Teams Channel. As a department, we have rules around how we engage in meetings which are detailed in this document.

Introduction #

Welcome to the Operations team! We are here to provide you with a friendly and approachable overview of how we work and what we do. This company information page will give you insights into the responsibilities of our Operations team, our working style, and the rules that guide our engagement. We will also explore the three types of work we undertake, including reactive, planned, and project-based tasks.

Role of the Operations Team #

Our Operations team plays a pivotal role in ensuring the smooth functioning of our organisation. Our main objectives include:

  • Ensuring day-to-day operations run smoothly
  • Coordinating resources to optimise efficiency
  • Managing and improving processes for better productivity
  • Swiftly responding to incidents and minimising downtime
  • Collaborating with other teams to achieve operational goals
  • Implementing monitoring systems for better visibility
  • Driving continuous improvement initiatives
  • Ensuring compliance with regulations and standards

Reactive, Planned, and Project-Based Tasks #

The Operations team handles a diverse range of tasks to support the smooth functioning of our organisation. Here are the three primary types of work we undertake:

  1. Reactive Tasks: Reacting swiftly to incidents and unexpected situations is a crucial aspect of our role. Our team excels at promptly addressing operational issues, troubleshooting problems, and providing immediate support to minimise disruptions. We identify the root causes of problems, implement temporary fixes when necessary, and work diligently to restore normal operations as quickly as possible.
  2. Planned Tasks: Proactive planning is essential to maintain efficient operations. Our team engages in planned activities such as regular inspections, preventive maintenance, and scheduled upgrades. By conducting these tasks on a predetermined basis, we aim to prevent potential issues, optimise performance, and ensure the reliability of our systems, equipment, and processes.
  3. Project-Based Tasks: Collaboration is key to our success, and we actively work with other departments or teams on specific projects that require our expertise. These projects may involve implementing new systems, optimising workflows, or managing changes that impact operational processes. By participating in these projects, we contribute to the organisation’s growth, innovation, and overall operational effectiveness.

Rules of Engagement #

To ensure consistent and effective operations, we adhere to the following rules of engagement:

  • Communication: We maintain open and transparent communication channels, keeping everyone informed about relevant developments and seeking input when needed. This is done via the Operations Teams Channel (Join Here)
  • Collaboration: We actively collaborate with other departments and teams, fostering a culture of teamwork and shared responsibility.
  • Accountability: Each team member takes ownership of their responsibilities, ensuring tasks are completed on time and to our high standards.
  • Documentation: We maintain accurate and up-to-date documentation of processes, procedures, and key operational information to facilitate knowledge sharing and ensure continuity. (Document Library Link)

Meeting Requests and Times #

To ensure effective time management and productivity, please consider the following:

  • Meeting requests should be made a few weeks in advance whenever possible. As a forward-looking department, we appreciate timely planning. Meetings requested within the same week may be declined unless they are business-critical and require immediate attention.
  • For standard meetings, we recommend setting the duration to 15 or 30 minutes. This helps maintain focus and ensures efficient use of everyone’s time. Alternatively, for quick updates or informal discussions, you can book a 10-minute informal meeting.
  • Please Note: Our team is often pulled across the business to address operational needs. Therefore, please do not be offended if we request to leave a meeting after a specific topic is covered. We want to get back to work as quickly as possible so that we can help serve you and the business efficiently.
